WATCH Timesheet has the ability to validate registered hours. When validating hours there are two different options:
In the system settings (Timesheet > Settings > System settings) page, the type of validation to use can be specified..
When ‘validate by manager’ is used, the employee registers the hours worked in a certain week (Timesheet > Timesheet > Hour registration by employee).
When all hours are registered and the week is ready to be validated, the employee checks the “done” checkbox at the top of the page.
When a manager wants to validate the hours, they can first check which weeks have not yet been submitted by the employees in the validation overview page (Timesheet > Validate > Validation overview). Based on this overview, an e-mail can be sent to eeach employee that has not yet submitted their hours.
In the validation page (Timesheet > Validate > Validate) all timesheets of the employees whose hours need validation can be opened. After checking the data entered by the employee the week can be validated by checking the “validated” checkbox. When the week is validated this way, the week is then locked to changes by the employee. The employee can still see the data he entered but changing the data is no longer possible.
Validating the timesheets submitted by individual employees as described above can be a time consuming task. The application also contains a page where the hours of multiple employees are shown grouped by type of registered time (Timesheet > Validate > Validating group). For each employee, regular hours, holiday hours and absentee hours for a given week are shown and can be validated much faster this way.
A manager validates all hours in a certain week for certain employees. When the project leader is included in the validation process, the project leader first validates the hours for each project element for a given week for all employees that are resources for that project. The project leader can only validate hours for projects that they are the project leader of. This results in the validation process as described below.
When validation by project leader and by manager are both used, the employee also registers the hours worked in a certain week (Timesheet > Timesheet > Hour registration by employee). In the page “Timesheet > Validate > Validation overview” the project leader can see which of the employees working on his projects did not submit their timesheets yet. Based on this overview, the project leader has the ability to send a reminder e-mail to all employees that did not submit their hours.
In the “Timesheet > Validate > Validate project leader” page, the project leader can validate all hours registered on her project. The validation can only take place when an employee has submitted his hours. If the manager has already validated the week then this is displayed by a checked checkbox in the “manager” column. These already validated hours cannot longer be altered by the project leader. The hours can, however, still be validated by the project leader.
When a manager wants to validate the hours in his turn he can also first check what weeks have not yet been submitted by the employees in the validation overview page (Timesheet > Validate > Validation overview). Based on this overview an e-mail can be sent to any employee that did not submit their hours.
In the validation page (Timesheet > Validate > Validate) all timesheets of the employees whose hours need validation can be opened. The manager can see on the left side of the page whether the hours registered in certain project elements have already been validated by the project leader.
After checking the data entered by the employee, the week can be validated by using the “validated” checkbox. When the week is validated this way, the week is blocked for the employee. The employee can still see the data he entered but changing the data is no longer possible. Also the project leader can no longer change the hours.
